Our safeguarding policy is in line with Monmouthshire County Council’s Safeguarding Policy 2025. Creative Futures, operating under Monmouthshire County Council, will be overseeing and ensuring compliance with this policy.

This policy applies to all staff, volunteers, freelance practitioners, trustees, and any individuals working on behalf of Improv Stars Academy. It covers all activities, workshops, rehearsals, and performances.

Designated Safeguarding Officer (DSO): Responsible for implementing and overseeing safeguarding procedures, ensuring concerns are reported and recorded correctly.
All Staff and Volunteers: Must be aware of safeguarding procedures, report concerns, and adhere to safe working practices.
Parents and Guardians: Encouraged to support our safeguarding measures and report any concerns.
Creative Futures: Responsible for overseeing safeguarding policy implementation and compliance.
5. Safe Recruitment We ensure that all staff and volunteers:
Undergo enhanced Disclosure and Barring Service (DBS) checks.
Provide professional references.
Complete safeguarding training before working with children.
6. Training and Induction
All staff and volunteers receive safeguarding training at induction and regular refresher training.
Safeguarding updates are provided in line with changes to legislation and best practices.
7. Code of Conduct All individuals working with Improv Stars Academy must:

Confidentiality will be maintained while ensuring the safety of the child.

Partnerships: Work collaboratively with local authorities, such as Monmouthshire County Council, and other relevant agencies to ensure a coordinated approach to safeguarding.

For Students
Respect Others: Treat fellow participants, instructors, and staff with kindness and respect at all times.
Be Punctual: Arrive on time for sessions and be ready to participate.
Engage Positively: Listen attentively, follow instructions, and contribute to activities with enthusiasm and an open mind.
Teamwork: Support and encourage your peers, working collaboratively during improvisation exercises and performances.
Inclusivity: Embrace the diverse backgrounds, ideas, and talents of others. Bullying, discrimination, or exclusion of any kind will not be tolerated.
Take Care of Property: Respect the space and equipment provided, ensuring everything is used appropriately and left tidy after sessions.
Dress Comfortably: Wear appropriate clothing that allows freedom of movement.
Safety First: Inform an instructor immediately if you feel unwell or notice anything unsafe.
For Parents and Guardians
Support and Encouragement: Encourage your child to engage fully and positively in the program.
Timely Drop-off and Pick-up: Ensure your child arrives and is collected on time. Inform us if there are any delays or changes to pick-up arrangements.
Open Communication: Share any relevant information about your child (e.g., medical conditions or special requirements) to help us provide the best possible experience.
Respect Privacy: Avoid recording or taking photos during sessions without prior permission from staff.
Payment: Ensure fees are paid promptly according to the agreed schedule. Contact us in advance if financial challenges arise.
Feedback: Provide constructive feedback to help us improve while respecting the efforts and time of our team.
General Guidelines
Zero Tolerance Policy: Bullying, harassment, or disruptive behavior will result in immediate intervention and may lead to suspension or removal from the program.
Bursary and Discounts: Families benefiting from bursaries or discounts are expected to maintain regular attendance and communicate any challenges.
Performance Etiquette: During showcases, respect all performers and keep distractions (e.g., mobile phones) to a minimum.
Consequences for Violations
Improv Stars Academy reserves the right to take appropriate action in the event of misconduct. This may include verbal warnings, parent meetings, or, in severe cases, dismissal from the program. Our goal is to work collaboratively with families to resolve any issues and ensure a positive environment for all.

Payments & Cancellations Policy
1. Course Fees & Payment Terms
All course fees must be paid in full and in advance of the course start date to secure a place.
Your place (or your child’s place) is only confirmed once payment is received.
We accept payment by bank transfer, debit/credit card, or approved direct debit.
2. Instalment Plans (By Agreement Only)
We offer the option to pay course fees in 2 or 3 monthly instalments, subject to prior agreement with the Academy Director.
Instalment plans must be:
Agreed in advance
Formalised in writing
And set up via an active direct debit before the first session begins.
Failure to complete instalment payments may result in:
Suspension of the participant’s place in the course
Additional administrative fees or collection action for unpaid balances
3. Non-Refundable Policy
Once full payment or the first instalment has been made and the course has begun, no refunds will be issued.
This includes withdrawal due to changes in schedule, holidays, short-term illness, or other personal circumstances.
4. Exceptional Circumstances
In serious and exceptional circumstances (e.g. long-term illness, family emergency), we may consider a partial refund or course credit, at the discretion of the Academy Director.
Requests must be:
Submitted in writing
Accompanied by supporting evidence (e.g. medical note)
Made within 14 days of the issue arising
5. Cancellations by the Academy
If a session is cancelled by the Academy (e.g. due to staff illness or venue closure), we will:
Offer a rescheduled class
Or issue a pro-rata refund or credit for the missed session
6. Transfers & Substitutions
Bookings are non-transferable between individuals unless agreed in advance with the Academy Director.
Changing to a different course/date is possible only if places are available and approved.
7. Late Payments
Late or missed payments (including failed instalments) may lead to:
Loss of place
Administrative charges
Or suspension from sessions until payments are resolved
8. Trial Sessions (Optional Clause)
If offered, trial sessions are payable in advance and non-refundable.
Booking a trial does not guarantee a full course place unless payment is completed afterward.

These Terms & Conditions outline the agreement between the participant (or their parent/guardian, where applicable) and Improv Stars Academy Ltd ("the Academy"). By enrolling in our classes, courses, or events, you confirm that you have read, understood, and agree to abide by the terms below.
1. Enrolment & Booking
A place is secured only when:
Full payment (or agreed first instalment) has been received
All required enrolment details and emergency contact information have been submitted
Bookings are accepted on a first-come, first-served basis
The Academy reserves the right to refuse or withdraw enrolment at its discretion
2. Attendance & Punctuality
Consistent attendance and punctuality are expected
Repeated lateness or absences may impact a participant’s development or eligibility to perform
Missed sessions are non-refundable and non-transferable
3. Behaviour & Code of Conduct
All participants are expected to behave respectfully toward staff, other students, and the venue
We promote a safe, inclusive, and encouraging environment. Bullying, aggressive behaviour, or repeated disruption may lead to removal from sessions or expulsion from the course — without refund
Parents/guardians are responsible for ensuring their child understands appropriate conduct and supports the Academy's values
4. Health & Safety
All relevant medical conditions, allergies, or additional needs must be declared at the time of enrolment
Participants must wear comfortable clothing and appropriate footwear for movement-based activities
The Academy reserves the right to refuse participation if a health or safety concern is identified
5. Safeguarding
Improv Stars Academy Ltd takes the safeguarding of children and vulnerable adults seriously
All instructors and staff working with children are DBS checked and trained in safeguarding procedures
Children must be collected promptly after classes. Persistent late collection may incur additional fees
6. Photography & Filming
We may occasionally photograph or film classes or performances for use in Academy materials, including social media and promotional content
Consent for photography/videography is requested at enrolment. You may withdraw consent at any time in writing
7. Performances & Events
Students may be invited to take part in shows or public performances throughout the year
Rehearsal attendance is essential; participants who miss key rehearsals may not be eligible to perform
Performance dates and expectations will be communicated in advance
8. Personal Property
Improv Stars Academy Ltd is not responsible for the loss, theft, or damage of personal belongings
Please label all items and avoid bringing valuables to sessions
9. Payments, Refunds & Instalments
All payments must be made in accordance with our Payments & Cancellations Policy
Instalment plans (2 or 3 payments) are available by agreement with the Academy Director and require a direct debit to be set up before the course begins
Refunds are only considered in serious, exceptional circumstances, at the discretion of the Academy Director, and with supporting evidence (see full policy)
10. Changes to Courses
We reserve the right to make minor changes to course content, venues, times, or staff where necessary
If a session is cancelled by the Academy (e.g. due to illness, venue closure), a replacement session will be offered or a pro-rata refund or credit will be issued
11. Data Protection & Privacy
All personal data is handled in compliance with the UK GDPR
Information collected is used solely for course administration, safeguarding, and communication with you
Your data is never shared with third parties without consent, unless required by law

No consent: Your child/you will be excluded from any photography or filming, and steps will be taken to avoid inclusion in group shots.
You can update or withdraw your consent at any time by contacting the Academy in writing.
4. Who Has Access to Media
Media is securely stored and accessed only by authorised Academy staff or contracted professionals (e.g. photographers, editors) working under strict confidentiality agreements.
5. Social Media Guidelines
We take care to:
Avoid tagging or naming minors unless specifically agreed
Remove any content if a parent/participant raises a concern

6. Storage and Retention
Photos/videos may be kept for up to 3 years for promotional or archiving purposes

This policy outlines how we maintain and support health and wellbeing throughout our sessions, activities, and performances.
1. Physical Health & Safety
All participants are expected to attend classes in suitable clothing and footwear for movement and performance activities.
Medical conditions, allergies, or injuries must be disclosed at enrolment or as soon as they arise.
A basic first aid kit is available at all sessions. At least one trained First Aider will be present during classes.
We follow all relevant health and safety regulations to minimise risk, including venue checks and safe use of props or equipment.
2. Mental & Emotional Wellbeing
We believe drama and improvisation offer powerful tools for building confidence, creativity, and emotional resilience. We support this by:
Creating a non-judgemental, inclusive environment

Incidents are dealt with seriously, fairly, and promptly. Persistent issues may result in suspension or removal from the programme.
